Information we collect
Depending on how you interact with us, we may collect your name, contact details, booking and payment information, visit preferences, event plans, dietary or accessibility requirements, Farmhouse Friends activity, marketing choices, job-application information, correspondence and limited technical information about use of this website.
Please only provide health, allergy or accessibility information where it is relevant to helping us provide a safe and suitable service.
How and why we use it
- To answer enquiries and take restaurant, bedroom and event bookings.
- To provide hospitality services, manage payments and maintain necessary business records.
- To administer Farmhouse Friends, credit and member benefits.
- To send marketing where you have consented, or where the law otherwise permits it, with an unsubscribe option in every marketing email.
- To assess job applications and charity partnership applications.
- To keep our guests, team, property and systems safe and to establish or defend legal claims.
- To meet legal, licensing, tax and regulatory obligations.
Our lawful bases
We rely on contract where information is needed to make or fulfil a booking; legal obligation for records we must keep; legitimate interests for operating, improving and protecting our business; and consent for optional marketing and non-essential cookies. Where special-category information is relevant, such as allergy or accessibility details, we use it only where a lawful condition applies and it is necessary to assist you.
Who we share information with
We may share information with trusted providers that help us operate bookings, payments, email, loyalty services, IT, website hosting and professional advice. We may also share it with registrars, caterers or event suppliers where you ask us to coordinate a service, and with authorities where required by law. Providers may only use information for the agreed service and must protect it appropriately.
International transfers
If a service provider processes information outside the UK, we require an appropriate UK data-transfer safeguard where the law requires one.
How long we keep information
We keep information only for as long as needed. Booking, payment and transaction records may be retained for up to seven years for tax and legal purposes. General enquiries are normally kept for up to 24 months after the last contact. Unsuccessful job applications are normally kept for up to six months unless you agree to a longer talent-pool period. Farmhouse Friends records are kept while membership is active and for a reasonable period afterwards. Marketing contact details are kept until you unsubscribe, after which we may retain a minimal suppression record so we respect your choice.
Your rights
You may have the right to access, correct or erase information, restrict or object to its use, receive portable information and withdraw consent. These rights depend on the circumstances. Contact us using the details above and we will respond in line with data-protection law.
Complaints
Please contact us first so we can try to resolve your concern. You can also complain to the Information Commissioner’s Office.
